Whether you are:

  • A parent managing a child’s care

  • A family member contributing to shared care

This guide will help you get started confidently and use the platform effectively.

2. Getting Started

Before using the platform:

✔ Download the My Virtual Carer app
✔ Create your account
✔ Verify your email or phone number
✔ Log in securely

You are now ready to create or join a care profile.

3. Account Setup

After logging in:

  1. Complete your profile details

  2. Upload a profile photo (optional)

  3. Enable notifications (recommended)

  4. Review privacy settings

Notifications are important for medication reminders, updates and shared care changes.

4. Understanding Roles & Permissions

Clear roles ensure safe and structured care coordination.

Parents

Parents typically:

  • Create and manage the care profile

  • Oversee medical and daily care records

  • Invite co-caregivers and carers

  • Maintain full visibility of all activity

Parents have full administrative control unless delegated.

Primary Caregivers

The Primary Caregiver:

  • Owns the care profile

  • Controls access permissions

  • Creates and edits care plans

  • Manages medication schedules

  • Oversees daily logs

There is always one designated Primary Caregiver per care profile.

Family Members

Family members may be added as:

  • Co-Caregivers (full shared access)

  • View-only or partial-access members

Family members can:

  • View care updates

  • Contribute notes (if permitted)

  • Monitor wellbeing

  • Stay informed in real time

Access level depends on what the Primary Caregiver assigns.

5. Creating a Care Profile

To create a care profile:

  1. Select “Add Care Recipient”

  2. Enter personal details

  3. Add relevant health or support information

  4. Save the profile

You can update details at any time via Edit Profile.

6. Using the Dashboard

The Dashboard provides a live overview of:

  • Today’s care activities

  • Scheduled medication

  • Tasks due

  • Recent logs

  • Alerts or reminders

This is your central coordination hub.

7. Care Planning

Care Plans allow you to structure ongoing support.

You can:

  • Create routines

  • Add recurring activities

  • Define specific care needs

  • Assign responsibilities

Care plans help reduce reliance on memory and improve consistency.

8. Daily Care & Logging

Daily logs allow you to record:

  • Observations

  • Mood or behaviour changes

  • Appointments

  • Incidents

  • General updates

Logs create a clear history of care and are visible to authorised users in real time.

9. Medication Management

You can:

  • Add medication schedules

  • Set dosage instructions

  • Record administration times

  • Track missed or delayed doses

Medication tracking increases safety and improves handovers.

Always double-check medical information before saving.

10. Tasks & Responsibilities

Tasks allow you to:

  • Assign specific actions

  • Set deadlines

  • Clarify ownership

  • Avoid duplication

Tasks may include:

  • School drop-offs

  • Appointment bookings

  • Prescription collection

  • Therapy exercises

Clear task allocation reduces emotional load on one individual.

11. Share Care (Inviting Others)

Share Care allows you to invite trusted individuals into the care circle.

There are two access types:

Co-Caregiver (Full Access)

  • Same visibility as Primary Caregiver

  • Can edit plans and logs

  • Shared responsibility

Carer Access (Partial Access)

  • Limited to assigned activities

  • Cannot change core settings

  • Structured support role

To invite someone:

  1. Go to the Care Profile

  2. Select Share Care

  3. Choose access level

  4. Enter their registered account details

  5. Confirm

The invited person must already have a My Virtual Carer account.

12. Communication & Notes

Use Notes to:

  • Share updates

  • Record conversations

  • Document changes

  • Maintain clarity

Notes reduce misunderstandings and improve continuity of care.

13. Managing Access & Permissions

You remain in control at all times.

To review or change access:

  1. Open the Care Profile

  2. Go to Access Settings

  3. View active members

  4. Adjust permissions or remove access

Access can be revoked immediately if required.

14. Safety, Privacy & Data Security

My Virtual Carer is built with:

  • Secure login authentication

  • Controlled access permissions

  • Encrypted data storage

  • Real-time synchronisation

Only authorised users can view or edit care information.

Always protect your login details.

15. Best Practice for Family Coordination

For effective shared care:

✔ Agree roles early
✔ Clarify who manages medication
✔ Review logs regularly
✔ Use tasks instead of informal messaging
✔ Schedule periodic care reviews

Structured care reduces stress and prevents conflict.
